FOTOSEPTIEMBRE GUIDELINES FOR PARTICIPATION & REGISTRATION

PLEASE READ CAREFULLY AND FOLLOW INSTRUCTIONS CORRECTLY.

All FOTOSEPTIEMBRE registrations are free.

FOTOSEPTIEMBRE is a photography festival. Exhibitions and/or installations of non-photographic media are not acceptable. Photography-based digital media is encouraged. Photo-imprinted textiles and other materials are acceptable if photography is the principal technique and main focus of the work. Photographs collaged onto paintings or sculptural pieces are not acceptable.

Photographic documentation of exhibitions and opening receptions is conducted at our discretion, and will not necessarily include every exhibition participating in FOTOSEPTIEMBRE. Comprehensive documentation of exhibitions is conducted only at exhibitions that best reflect the professional standards and interests of FOTOSEPTIEMBRE.

FOTOSEPTIEMBRE and SAFOTO are privately owned Trademarks registered with the United States Patent & Trademark Office. All rights and usage reserved. 

Use of the FOTOSEPTIEMBRE and SAFOTO names and logos is allowed and restricted exclusively to the exhibitions and events registered with the festival by our posted deadline; all of which are featured in our Exhibitions Catalog and Quick Sheet, and in the Exhibitions & Events Calendar on our website.

FOTOSEPTIEMBRE Guidelines 

Exhibition & Event Registrations are due between July 1 and August 15, every year. Exhibitions and events have to be registered per the information required in our posted guidelines, and image files should adhere to our posted specs. All registered exhibitions and events listings will be posted in our online calendar.

Please keep in mind that the later we receive a registration, the less time we have to adequately promote the exhibition or event. Early registrations (prior to July 1) are encouraged.

Anticipating that there is always a shortage of available exhibition venues, as well as a lack of financial means to present an exhibit; if a photographic artist cannot find or afford a venue for an exhibit, we will create individual posts in our website (online galleries) to showcase a body of work. These online galleries will be presented as posts of works submitted by photographic artists, and are not the same as our curated Monographs Series.

For individual photographic artists, we will select and present up to 12 images from a series. For group exhibits of three photographic artists we will select and present up to 4 images from each artist in the exhibit, 12 images total. For larger group exhibits we will select one or two images from each photographic artist up to 12 images total.

Important note: We reserve the right to make our own selections from single images or series of images sent for consideration. Send images via wetransfer.com.

Our Registration requirements (see Required Registration Information below) still apply for the online galleries, with the exception of dates, times, venue name, location and contact. We will need the photographic artist’s complete contact information, which will be published in the calendar listings. All image files have to be submitted per the specs posted in our regular Guidelines (see below).

The calendar listings for these posts will be published as soon as we receive the registration materials. The online gallery posts will be published on our website around September 1, and will remain on our website until the end of civilization.

Participating in FOTOSEPTIEMBRE is simple. Organize your exhibition or event so that it opens, takes place, or is on display in the San Antonio metro area or the Texas Hill Country, anytime between September 1 – 30. Fill out our Registration Form. Send us the completed Registration Form and the required high-resolution images per our specs posted below.

Even though registration and participation is free of charge, you must follow our Guidelines and register your exhibition or event for inclusion in the FOTOSEPTIEMBRE calendar listings and promotions. Use of the FOTOSEPTIEMBRE name and logo is allowed only for registered exhibitions or events.

Fill out the FOTOSEPTIEMBRE Registration Form PDF. Or copy the Required Registration Information text below, make your own document, and provide the necessary information. Send the completed entry form via email as an attached PDF, JPEG or email text file. You can also print the Registration Form and send it via First Class Mail, Fed-Ex, UPS, or courier.

FOTOSEPTIEMBRE confirms receipt for every Registration Form received. Please email us promptly if you do not receive a registration confirmation.

REGISTRATION PERIOD

JULY 1 – AUGUST 15, every year, is our extended registration period for receiving a completed Registration Form and high-resolution image files for participation in FOTOSEPTIEMBRE.

Registrations that do not follow our Guidelines will not be included in the FOTOSEPTIEMBRE calendar listings.

REQUIRED REGISTRATION INFORMATION

Please use a separate Registration Form for each exhibit or event. Use additional pages if necessary.

• Title of exhibition or event.

• Name(s) of artist(s) or event participant(s). Please write clearly.

• Name of venue, complete venue address with Zip Code, phone number, website, email address.

• Opening reception or event date and time.

• Exhibition or event opening and closing dates.

• Exhibition daily viewing hours.

• Contact person, phone number, email address.

• Additional information: Curatorial, technical, related events, performances, etc.

• If you want to include a descriptive text or artist statement, send as a separate, editable text file.

IMPORTANT: All texts are subject to editing at our discretion.

HIGH RESOLUTION IMAGES FOR CALENDAR LISTINGS, PROMOTIONAL MATERIALS AND ONLINE GALLERIES.

The image specs posted below are exact and specific. There are no exceptions to our image requirements. Low resolution images or files that are smaller than our posted specs will not be accepted. Exhibition or event registrations with incorrect image sizes will not be accepted.

High Resolution Images For Calendar Listings, Promotional Materials and Online Galleries: Send 3 to 5 high resolution images for calendar listings and promotions. If sending images for an Online Gallery exhibition proposal, send up to 12 images (or more if you want us to make our own selection). Send images as JPEG files. Files should be 10 inches on their longest side (10×10, 8×10, 7×10, etc.), 300 DPI, RGB. Send images on a CD or DVD (by mail) or via wetransfer.com or other file transfer services (please make sure we don’t have to log on or sign up to download image files). Prints are acceptable too, no larger than 8 inches on their longest side. Prints and CDs or DVDs with digital files are stored in the FOTOSEPTIEMBRE-SAFOTO archives and will not be returned.

IMPORTANT: Images should be clean, without any imprint (digital or handwritten) of the author’s name, or title of the image.

All FOTOSEPTIEMBRE participants should display the FOTOSEPTIEMBRE logo or the FOTOSEPTIEMBRE name in promotional materials and at exhibition venues. Use of the FOTOSEPTIEMBRE name and logo is allowed only for registered exhibits and events.
